EBS Coworking House Rules

The workspaces at the Estonian Business School aim to provide a professional, inspiring and comfortable work environment for members to build businesses, exchange ideas and make cooperation happen. We are not only offering a space, but also building a community within that space. To succeed in creating an environment where every member feels secure and supported, we kindly ask for your cooperation. Please thoroughly read the house rules of our workspaces below and take notice that the non-compliance with the rules by the member or his guest (s) will result in a written warning and, if this is not sufficient, the unilateral termination of the contract by the lessor together with the requisition of the deposit.

The rules are composed by EBS Campus OÜ, the company responsible for the property management of the university building.  House rules can be updated on an ongoing basis when necessary.


NEXUDUS PLATFORM

Upon signing the contract, each new member can create their EBS coworking member profile and choose a personal password, which can later be used to log in to the Nexudus platform to get information about their membership plan, billing, usage of services, events and more. Members are responsible for maintaining the confidentiality of their password.


MEMBER ACCESS

  • Access times:

    • 5th floor coworking space: 24/7.

    • 2nd-4th  floor meeting rooms available upon booking: Monday – Sunday, 9:00-20:00

  • Access to 5th floor: 

    • Side entrances and stairs: 24/7 

    • Main entrance and middle stairs: Monday - Friday, 8:00-21:00, Saturday - Sunday 9:00-16:00, closed on holidays. 

  • Access devices:

    • Until the end of 2020: each member receives a personal access card.

    • From 2021: access granted by Nexudus app.

RECEPTION

  • The reception of EBS coworking is located on the 5th floor. This is where our Community Manager/Receptionist can be found. She is the one who can assist with topics regarding our coworking space. 

  • The reception of EBS University, located on the ground floor, acts as an information point for the university and its guests, and should not be treated as a place to find assistance for coworking. 


WORK AREA

Work areas are where all members should be able to focus and not be disturbed by the surroundings. To ensure a quiet and clutter-free work environment, we kindly ask our members to: 

  • Keep quiet whenever possible, and (if needed) communicate with others only in a low volume. For longer discussions, please move further away from the work area.

  • For calls, use the phone booths, balcony or reception area. 

  • Maintain the cleanliness of the desk and the surrounding area. 

  • Acknowledge that EBS is not responsible for any property that is left behind in an open coworking area. It is the responsibility of members to ensure that they have retrieved all of their personal items prior to leaving.

  • Turn off the lights and close the windows when leaving the space.  

  • Let the Receptionist know as soon as any damage is done to the furniture or carpet, and acknowledge that depending on the scale of the damage a member may be held liable for the repair costs for any damage to our premises and equipment caused by members or their guests.


KITCHEN AREA

All our members are welcome to use the kitchen for their convenience, but are asked to:

  • Handle kitchen equipment with care.

  • Clean after themselves, following the recycling instructions on garbage bins and placing all used dishes inside the dishwasher.  

  • Mark their names on products left in the fridge, and make sure to not leave any expired food in the fridge. At the end of the week, leftovers and expired items should be removed by the Receptionist.  

  • Have their meals only in the kitchen area.



USAGE OF SERVICES

Meeting rooms

Our coworking area on the 5th floor has 2 meeting rooms which our members are welcome to use free of charge. With the use of meeting rooms, the following rules apply:

  • All meeting rooms must be pre-booked via the Nexudus platform.

  • After the meeting is over, the meeting room should be left in the condition it was found. All personal items should be removed and lights switched off.  

  • Participants of the meeting are welcome to bring water, coffee or tea with them, but the organiser should ensure all empty cups and dishes are removed afterwards. If needed, members can ask the Receptionist to help with that. 

  • The Receptionist should be notified if any catering service is needed.

Our members are also welcome to use other premises the university has to offer on the 2nd-4th floor, but should be aware that these are not included in the membership fee and are available only upon pre booking. The types of rooms available:

Coffee/tea

Coffee and tea are offered free of charge to all our members and their guests. 

Snack bar

There are two snack bars located in the open coworking area and our members are free to use the service 24/7. 

EBS student cafeteria

Our members are welcome to have breakfast, lunch  or a quick snack in the university cafeteria on the -1 floor, which is operating Monday - Friday, 9:00-16:00.

Catering

If there is a need for a catering service, we kindly ask our members to discuss the needs with the Receptionist, who can organise the service with one of our partners. If possible, the EBS student cafeteria catering service should be preferred. If a member wishes to use their own catering contact, they have to make sure the catering service is greeted and directed to the right location in time without causing any inconvenience for the rest of our members or the university. 

Wifi

  • Upon signing the agreement, our members are provided with logins to member wifi EBS SWG.

  • All the guests are welcome to join our open network EBS WiFi. The information needed to log in can be found with the Receptionist or in the work and meeting areas. 

  • We ask all our members and their guests to use our network with responsibility, any illegal actions are not allowed and will be detected. Make sure that you’ve read and agree to our explicit Data Connection and Internet Terms of Service.

Printing

  • Access to member wifi also provides the member with access to our printing services. Ask our Receptionist to help with the installation and setting up the service on Nexudus.

  • All members have a monthly limit of printing within their contract. If the limit is exceeded, additional charges will apply.

Cleaning

EBS coworking space provides basic cleaning service (emptying trash cans once a day during workdays and cleaning floors once a week) which is included in the membership fee. 

Mail and deliveries

If members need to receive mail and packages, the delivery should be directed to the main reception of the university. The Receptionist of our coworking space collects the mail from there daily and makes sure our members receive it.


Parking

Parking is available behind the university building and can be arranged via Barking application. 

RECEIVING GUESTS

We kindly ask our members to take care of their guests by:

  • assisting them in finding a way to the coworking or meeting space;

  • greeting them in the reception area or (if needed) outside the building;

  • making sure the guest is comfortable and their needs are met;

  • ensuring that the guest is no threat to other members and leaves the premises on time.

In case our member notices unfamiliar people entering the workspace, we ask you to notify the Receptionist, or try to find out who the guests are looking for. Guests should not be left unattended unless their host is present. 


SMOKING

Smoking is forbidden on the territory of the university. Members, who wish to smoke, are welcome to do so in the park across the street. 


FOOD DELIVERY

All food deliveries (including Wolt, Bolt, etc.) should be carried out via the side doors - the courier should be left with clear directions on how to reach the 5th floor via side corridors or should be met outside the university building. 


PETS

We love pets, but we kindly ask our members to leave their pets at home or with the caretaker as we need to ensure that everybody visiting our coworking space or university is healthy and comfortable. 

 

AIR CONDITIONING / HEATING

Our coworking space and the university as whole has a centralised heating system which is automatic and set to provide a comfortable working environment in all seasons.


FIRE SAFETY

The rules of fire safety at our premises can be found at the reception and will be handed out to each member. In case of emergency, an automatic alarm will go off. 


FIRST-AID KIT

The first-aid kit can be found in the coworking reception on the 5th floor. If any assistance is needed, the Receptionist should be notified.


VIDEO SURVEILLANCE

In order to maintain the safety and wellbeing of our members, prevent and/or detect any wrongdoing against personal property, as well as the coworking space and university building, the entirety of our premises are under video surveillance.


COVID-19

Depending on the situation with COVID-19, EBS can enforce measures needed to limit the spread of the virus within the university community, ie. restrict the access to workspaces and cafeteria through university building and such.
